Payroll Administrative Assistant

Performs the administration of the day-to-day operations of the department and is fully responsible for managing administrative functions, establishing administrative procedures, and policies.

Day to Day Roles

  • Perform a broad range of administrative details, including clerical (i.e., copying, faxing, mailing, filing) of highly confidential nature on a regular basis, requiring initiative and judgment to make independent decisions for which errors may have moderate effect on the business
  • Develop, edit and create documents using PowerPoint, Excel and Word, and other software, while ensuring all documents produced adhere to Company standards
  • Prepare a variety of highly confidential, specialized, and recurrent reports (i.e., financial data)
  • Conduct research, compile data and prepare material for consideration and presentation
  • May manage calendars, schedule meetings and associated logistics (e.g., agenda preparation, recording minutes), coordinate travel arrangements, screen telephone calls, and open, sort and route mail for the department
  • May perform service functions by answering basic requests and providing training

Core Skills and Qualifications

  • High school diploma or equivalent
  • One (1) year administrative experience
  • Microsoft Word skills to include the ability to open, close, create, edit and save documents
  • Microsoft Excel skills to include the ability to open, close, edit (e.g. cut, paste, insert and delete rows) and save spreadsheets
  • Microsoft PowerPoint skills to include the ability to create and generate presentations (e.g. add slides, insert an image, move and resize objects)
  • Ability to maintain composure and adapt in a dynamic, fast-paced, customer-focused work environment characterized by rapid change, minimal lead times, and multiple competing priorities
  • Ability to effectively manage and execute multiple tasks and priorities
  • Ability to maintain confidentiality, quality, and accuracy
  • Demonstrated ability to manage time and organize workload
  • Excellent verbal and written skills necessary in order to communicate intricate job-related processes to internal and external customers
  • Ability to calculate, analyze, and interpret mathematical information such as percent differences, ratios, median, mean, weighted average, etc.

Preferred Skills and Qualifications

  • Microsoft User Specialist Certifications (e.g., Word, Excel, PowerPoint)
  • SAP experience
