Administrative Import/Export Coordinator

Performs both inbound/ outbound international route scheduling and supports timely payments of vendor invoices. Communicates with manufacturing, distribution, suppliers, procurement, customer service, shipping, receiving, carriers, and other logistics partners to meet corporate on-time and line fill objectives


Day-to-Day Role:

  • Tender freight orders to preferred carriers of all modes 
  • Plan inbound  delivery orders with preferred carriers and logistics partners; tracking lots and communicating arrival notifications to procurement and receiving
  • Prepare documentation, commercial invoices, packing lists, packing declarations, SOLAS  weight verification statements, bill of ladings, shippers export declarations, shippers’ letter of instructions and other documents required for regulatory requirements
  • Submit or audit  AES/ISF submissions (through US Customs or Small Parcel Service sites) to avoid shipment stoppages
  • Audit freight bills for accuracy and prepare for Supervisor’s final approval before submitting to accounting payment systems 
  • Participate in  action process improvement initiatives to reduce in-transit times and potential demurrage/storage costs
  • Maintain records for all import and export documentation ensuring compliance with Dart’s established policy.
  • Monitor and report progress on all tasks assigned

 

Core Skills and Qualifications:
The ideal candidate must possess all of the following:

  • Good verbal and written communication skills
  •  Experience using Microsoft Office, including the ability to create basic reports, documents, and spreadsheets in MS Word and MS Excel

 

Preferred Skills and Qualifications:

  • High School Diploma or equivalent; Associate degree 
  • One (1) year of logistics or supply chain experience; import/export compliance
  • Data entry skills to include strong attention to detail and accuracy; SAP experience
