Dart is on the search for an Administrave Assistant who will provide a broad range of clerical and administrative support for one or more managers in our Engineering Department. This will include tasks such as answering phone calls, scheduling appointments, and opening, sorting, and routing mail to the appropriate parties. Additionally, you will be expected to prepare a variety of specialized and recurrent reports, develop PowerPoint presentations, and attend meetings.

Day-to-Day Role:

Administrative Assistant

  • Provide a broad range of administrative support for one or more managers within a department or facility
  • Learn and follow departmental and company practices, policies, and programs
  • Research, compile, and analyze information
  • Develop, edit, and proofread reports, letters, and other documents using PowerPoint, Excel, Word, and/or other software
  • Prepare a variety of specialized and recurrent reports
  • Make appointments, travel arrangements, and meeting arrangements, and coordinate activities between departments and outside parties
  • Answer telephones, screen calls, and forward messages
  • Open, sort, and route mail to the appropriate parties
  • Assist with clerical activities such as copying, sorting, mailing, or filing as needed

Sr. Administrative Assistant 

  • Utilize department information such as policies, procedures, programs, products, and services to provide a wide variety of administrative support for one or more managers within a department or facility
  • Research, compile, and analyze information, data, and reports
  • Develop, edit, and proofread reports, letters, presentations, and other documents using Microsoft PowerPoint, Excel, Word, Project, Visio, Access, and SharePoint
  • Learn and use SAP modules and ad-hoc query specific to department
  • Prepare a variety of highly confidential, specialized, recurrent and ad-hoc reports
  • Track and maintain project plans
  • Make appointments, travel arrangements, and meeting arrangements, and coordinate activities between departments and outside parties as needed
  • Assist with clerical activities such as copying, sorting, mailing, or filing as needed
  • Lead and develop complex tasks and/or services
  • Work on multiple complex tasks concurrently
  • Perform as a mentor, including but not limited to, coordinating resources
  • Apply expert knowledge and expertise to anticipate and avoid problems
  • Implement improvements and new technology in the collection and documentation of data

Core Skills and Qualifications:
The ideal candidate must possess all of the following:

Administrative Assistant

  • High school diploma or equivalent with at least two (2) years of experience in a clerical type position
  • Microsoft Word skills to include the ability to create reports containing graphs and other intermediate functions (e.g. perform  mail merge, insert table of contents)
  • Microsoft Excel skills to include the ability to create spreadsheets and perform intermediate functions (e.g. create formulas, insert graphs, pivot tables)
  • Microsoft PowerPoint skills to include the ability to create and generate presentations (e.g. add slides, insert an image, move and resize objects)
  • Ability to effectively manage and execute multiple tasks and priorities
  • Ability to maintain confidentiality, quality, and accuracy
  • Excellent verbal and written skills necessary in order to communicate intricate job-related processes
  • Math skills to include simple addition, subtraction, multiplication and division
  • Ability to identify issues, compare data, investigate and resolve discrepancies
  • Strong attention to detail and accuracy

Sr. Administrative Assistant

  • High school diploma or equivalent with at least five (5) years of related experience OR
  • Associate's degree with three (3) years of related experience OR
  • (Internally) Two (2) years of experience as an Administrative Assistant
  • Microsoft Word skills to include the ability to create reports containing graphs and other advanced functions (e.g. create templates that utilize macros, adding content controls, setting user permissions)
  • Microsoft Excel skills to include the ability to create complex spreadsheets and perform intermediate functions (e.g. create formulas such as V-lookup, insert graphs, pivot tables)
  • Microsoft PowerPoint skills to include the ability to create complex presentations (e.g. embedding videos, animation schemes)
  • Ability to initiate, coordinate between, prioritize among and contribute to several concurrent tasks and/or services, some of a large scope.
  • Ability to maintain confidentiality, quality, and accuracy
  • Excellent verbal and written skills necessary in order to communicate intricate job-related processes
  • Math skills to include simple addition, subtraction, multiplication and division
  • Ability to identify issues, compare data, investigate and resolve discrepancies
  • Strong attention to detail and accuracy
  • Ability to learn SAP or other non-standard technical software such as Microsoft Project, Visio, Access, and SharePoint
  • Ability to work independently with minimal direction and supervision when creating and conducting tasks, and reviewing results.
